From the Clubhouse

Join us at the Clubhouse on Sundays in September as we look forward to cooler temperatures, relaxing afternoons with family and friends, and fun activities.

Labor Day Sunday we will kick off the month with Cornhole at Calhoun’s, plan to stay into the evening as we offer another poolside movie event with the 80’s classic “The Goonies”. Showtime begins at 8:30. Popcorn, soft drinks, adult “refreshments”, candy, and snow cones will be available to enjoy during the event. Please sign up at the Clubhouse 223- 6450 or on Facebook.

Sunday 9/10 we will offer a tournament-style Cornhole competition with teams battling it out for bragging rights and prizes. Sign- ups will be offered soon on Facebook and by calling the Clubhouse.

Sunday 9/17 The Clubhouse is partnering with the Racquet Club to host an Open House for prospective new members, offering a chance to showcase the amenities and opportunities Gatewood Club has to offer. We would love for all of our Owners and Members to bring friends out to see the possibilities membership offers!

Sunday 9/24 We are getting back to the basics of good old-fashioned fun at the Clubhouse! Join us for pizza and games-bingo, trivia, family feud, and more! We will take reservations for pizza orders and each group’s charges will be billed to member accounts. Stay tuned to “What’s Happening” for more details to come.

Fitness Updates: Join us for our fitness classes offered each Monday through Thursday mornings at the Clubhouse beginning at 8:30! Monday and Wednesday we have Yoga Push and Tuesday and Thursday offer Power Hour. Call the Clubhouse for more information.

From Management

Rear Gate Test — We will be doing a trial period of opening the Back Gate from 7-9 am and 5-7 pm Monday through Friday starting on September 11th. The trial is an effort to save wear and tear on the back gates, lower high repair costs, improve traffic flow, and make sure that cars are not backed up onto Woodlawn Road. We will send a survey out soliciting feedback around September 25th. The Front Gate Schedule is not changing in any way during the trial.

Board Meetings and Board Minutes

In most states, members of community associations are entitled to attend meetings of the board of directors, except when the board adjourns to, or meets solely, in executive session under circumstances in which such sessions are permitted.

Gatewood Board of Directors Meetings are held on the 3rd Monday of every month. Meetings begin at 6:00 PM and are held in the Sunroom inside the Clubhouse. Board of Director Meetings are “open meetings” and are open to all owners belonging to the Gatewood Property Owners Association. The following is a typical agenda for the Gatewood Board of Directors.

  • Approval of Meeting minutes from the previous month’s meeting
  • Property Owner Presentations (if applicable)
  • Reports:
    • 1. Management Report
    • 2. Committee Reports:
      • Roads & Grounds
      • Lakes & Dams
      • Architectural Control Committee
      • Finance
      • Racquet
      • Any Ad-Hoc Committees
  • Old Business
  • New Business
  • Executive Session if needed

If an owner wishes to address the Board with a specific issue, the owner is asked to call the clubhouse ahead of time so they can be placed on the meeting’s agenda. Typically, the Board will schedule these interactions at the beginning of the meeting, enabling the owner to leave following their discussion if they do not wish to stay for the entire meeting. Owners are allowed 5-10 minutes to address the Board, and then members may ask questions.

The nature of business that can be conducted in an Executive Session meeting of an association’s board of directors is specified in the state statutes, but is generally limited to the following items:

  • Legal matters,
  • Matters relating to the formation of contracts with third parties,
  • Member discipline,
  • Personnel matters,
  • Decisions to foreclose a lien,
  • Matters relating to disciplinary action against a member, and
  • Plans for payment of delinquent assessments (upon request of the member).

Meeting minutes are taken at each Board Meeting and are typed by Secretary Ginny Gast following each monthly meeting. A draft is then circulated to all directors soliciting their edits, corrections or approval. Not until a majority of directors has approved them, do they become the official set of minutes. Meeting Minutes are then filed and kept for future reference. Additionally, they along with the next month’s meeting agenda are emailed to all property owners.

Walk Facing Traffic

If there is no sidewalk and you must walk on the side of the road, choose the side where you are facing oncoming traffic. Walking opposite traffic gives you the best chance to see vehicles approaching closest to you and take evasive action when needed. This may be confusing because the opposite rule is true for cyclists. They should cycle in the same direction as the traffic flow.
